How the missed-call estimate works
- Qualified missed calls = monthly qualified inbound calls × missed-call share.
- Still unrecovered = missed calls × (1 − the share your team already wins back).
- Additional callers reached = unrecovered × your realistic new recovery rate.
- Extra jobs = additional callers reached × your own completed-job close rate.
- Potential monthly contribution = extra jobs × gross profit per job − monthly process cost.
This deliberately avoids treating every unanswered phone call as a lost sale. For restoration or garage door repair, an urgent escalation and an ordinary quote callback are different workflows. Pull call and callback records for a recent normal month. Repeat the calculation with a cautious and an optimistic recovery assumption before comparing any answering solution.
Important: The calculation omits repeat jobs, seasonality, refunds, cancellation rates, staff effort and tax. Negative contribution is possible. More answered calls do not always mean more qualified jobs.
What can you do about missed calls?
First, find the types of calls your team truly misses: after-hours emergencies, busy-hour overflow, estimate requests or scheduling changes. Then decide whether a better callback process, a live answering service or a managed AI receptionist fits your actual routing and booking setup.
Dean Studio can discuss an appropriate demonstration without promising a financial result. Ask about your call intake workflow.
Common questions
Does a missed call automatically mean a lost customer?
No. Some callers try again, leave voicemail, or are not potential customers. The calculator asks you to exclude calls your team already recovered and to estimate what fraction of remaining calls could realistically be reached.
Should I enter revenue or profit per job?
Use your estimated gross profit per completed job, not its sales price, when you want a contribution estimate that can be compared with a monthly answering service cost.
Does the calculator guarantee AI receptionist ROI?
No. It models assumptions you enter. Actual recovered callers, booked jobs, operating costs, and results can differ significantly.
