Privacy Policy

Last updated: October 30, 2026

This policy explains how Dean Studio handles enquiry data, technical access information, payment and checkout evidence, chatbot messages, and AI-service data.

1. Scope, Responsible Provider, and Contact

This Privacy Policy applies to the Dean Studio website, preview and demo requests, direct client communications, checkout evidence, and services operated by the legal contracting party identified in the applicable order, invoice, or checkout disclosure.

For client websites and client-controlled business systems, the client may be the primary business responsible for deciding how customer information is used, while Dean Studio and approved supporting services process information to deliver the configured service.

Privacy questions and requests may be sent to contact@bydeanstudio.com.

2. Information We Collect

Dean Studio may collect names, email addresses, phone numbers, business information, website addresses, locations, service requests, form messages, chat messages, booking details, project instructions, technical access information, payment identifiers, and technical information related to use of the website and services.

Technical information may include timestamps, browser or device information, referring pages, request identifiers, approximate network information, and privacy-preserving hashes used for security and rate limiting.

3. Browser Storage, Cookies, and Similar Technologies

The website uses essential browser storage such as localStorage and sessionStorage to operate features, remember whether a popup was dismissed, preserve limited demo-request or engagement state, prevent repetitive prompts, and maintain technical session state where required.

This browser storage is not used by Dean Studio to sell personal information or build advertising profiles. Dean Studio does not currently describe any third-party advertising cookie program on this website.

Blocking or clearing browser storage may reset preferences or prevent some interactive features from working as intended.

Dean Studio uses Microsoft Clarity for privacy-masked, cookieless website experience analytics, including page views, clicks, scroll patterns, technical diagnostics, and limited session replays. Clarity is configured not to use advertising or analytics cookie storage. Fields and private chat or demo-request dialogs are masked; analytics events contain action names only, not message text or contact details.

Microsoft may process limited device, page and interaction information to provide Clarity analytics. Dean Studio does not use this Clarity integration for advertising retargeting. For questions or applicable privacy rights, contact contact@bydeanstudio.com.

4. Checkout and Delivery Evidence

When a customer uses checkout, Dean Studio may record the selected product, amount, renewal interval, contracting-party disclosure, policy versions, affirmative acceptance, timestamp, payment-provider identifiers, browser or device information, and a privacy-preserving hash derived from network information.

Dean Studio may also retain approvals, deployment records, DNS or registrar-access records, source-transfer records, handover records, customer acknowledgements, and support history to document instructions, payment, delivery, fraud prevention, accounting, and dispute handling.

Dean Studio does not store complete payment-card details on its own servers.

5. How and Why We Use Information

Information is used to respond to enquiries, review business fit, prepare previews, take steps requested before a contract, recreate or build approved websites, send contact-form submissions to the client-designated email, provide configured booking services, deliver services, provide support, manage demos, setup, and subscriptions, verify payments, document acceptance and delivery, improve security and performance, prevent abuse, and comply with legal obligations.

Depending on the applicable law and context, processing may be based on consent, steps requested before entering a contract, performance of a contract, legitimate business interests, or legal obligations.

6. Website Recreation, DNS, and Client Access

When a client authorizes an Engage website recreation, Dean Studio may process the client’s approved public website content, branding, images, business information, contact information, and DNS records to prepare and launch the recreated website.

Routine administrator access to the original website is normally not required for this approach. If access to another client-controlled system is required for an approved feature, clients should provide limited, temporary, or delegated access rather than primary credentials where possible.

Clients should revoke temporary access when it is no longer required and should not send passwords through public forms or ordinary public chat messages.

7. Contact Forms, Booking, AI, and Communication Data

A basic website contact form may collect a visitor’s name, location, phone number, email address, requested service, and message and send the submission to the email address designated by the business client.

A complete managed booking feature may process requested appointment dates or times, availability, scheduling information, confirmations, and related contact details while the applicable managed subscription is active.

Chatbot messages, call details, caller phone numbers, recordings where enabled, transcripts, booking information, lead data, and AI-generated summaries may be processed to provide the selected managed service.

These features may use approved hosting, AI processing, telephony, transcription, calendar, email, database, automation, analytics, and security services without requiring those internal service names to be displayed to website visitors.

The business client is responsible for determining whether recording or transcription is lawful for its use case and for providing required notices or obtaining consent.

8. Sharing, Supporting Services, and International Processing

Dean Studio may share information with supporting services used for hosting, payments, AI processing, telephony, communication, booking, analytics, security, accounting, and service delivery. Information is not sold to advertisers.

Some supporting services may process information in the United States, Vietnam, or other countries where they operate. Where applicable law requires transfer safeguards, Dean Studio and the responsible contracting provider will use an appropriate contractual or legal mechanism.

Dean Studio may also disclose information where reasonably necessary to comply with law, protect users or systems, investigate fraud or abuse, or establish, exercise, or defend legal claims.

9. Retention and Security

Dean Studio retains information only for as long as reasonably necessary for the purpose collected, the active service relationship, accounting and tax records, security, fraud prevention, dispute handling, enforcement, and legal obligations.

Retention periods vary by record type. A valid deletion request may be limited where information must be retained for payment records, legal obligations, security, fraud prevention, or legal claims.

Reasonable technical and organizational safeguards are used, including access controls, limited credentials, rate limiting, and restricted database access where appropriate, but no system can guarantee absolute security.

10. Privacy Requests and Choices

Depending on the law that applies, a person may have rights to request information about processing, access personal information, correct inaccurate information, request deletion, restrict processing, receive portable data, object to certain processing, or withdraw consent where consent is the basis for processing.

Send a request to contact@bydeanstudio.com with the subject Privacy Request and enough information to identify the relevant interaction. Dean Studio may request reasonable verification before disclosing, changing, or deleting information.

Dean Studio will respond within the period required by applicable law. Where the GDPR applies, requests are generally handled without undue delay and normally within one month, subject to permitted extensions and identity verification.

A request may be denied or limited where the information must be retained for legal obligations, security, fraud prevention, contract administration, or the establishment, exercise, or defense of legal claims. Where required, the response will explain the reason and available complaint rights.

11. Children

The Dean Studio website and services are intended for business users and are not directed to children. Dean Studio does not knowingly request personal information from children through the website.

12. Changes and Contact

Dean Studio may update this Policy when services, supporting systems, legal requirements, or data practices change. The current effective date is shown at the top of the page.

Questions, access requests, correction requests, deletion requests, or other privacy enquiries may be sent to contact@bydeanstudio.com.
